Privacy Policy

Collection and Use of Information

The Nevada System of Higher Education Supplier Registration and Payment Registration ("SRPR") system collects and stores the information submitted by suppliers, including personally identifiable information. This information is stored as part of the supplier profile. The University of Nevada Las Vegas Purchasing Department ("UNLV") may tie supplier's personally identifiable information and history to information in their profile in order to provide information to supplier regarding particular solicitations and to improve the services provided by SRPR. In addition to the profiles, SRPR stores information that it collects through log files to further profile user and Supplier preferences.

UNLV will use information primarily: (1) to streamline processing of supplier registration, supplier inclusion, and solicitation notifications; (2) to provide continuing and updated information to suppliers regarding the procurement process generally or a particular solicitation specifically; and (3) to continually enhance and improve the procurement process.

UNLV is the sole owner of the information collected on the SRPR website. However, UNLV is subject to the disclosure requirements of the Nevada Public Records Law and will disclose user and Supplier profiles as required by law. Personally identifiable information may be disclosed under Nevada Public Records Law unless that information qualifies as one of several exceptions to that law's disclosure requirements.

Personally Identifiable Information

Personally Identifiable Information may be subject to Nevada Public Records Law and shared with third parties upon a public records request under that law. UNLV does not otherwise share this information with third parties, except as necessary to administrate the procurement process.

Aggregation of Information

All information submitted to the SRPR system may be aggregated. Aggregations will be drawn from the latest operational data and included in standard reports and ad hoc reports for use as decision support and analytical information. The level of aggregation will depend upon the style of the report and business requirements being addressed by the process. For example, reports may list the number and types of bids sent to a particular supplier, and may list specific dates of each notice.

Social Security Numbers

Where supplier is a sole proprietorship, supplier will be required to provide its Social Security Number when registering in the SRPR. UNLV will encrypt it and use secure socket layer technology (SSL) for data transmission. The information will be stored in our procurement and financial systems which are also secured.

Communications from the Site

For those suppliers who choose to receive electronic notifications, UNLV will send emails to the specified email address. UNLV may send suppliers information regarding specific solicitations for which the supplier may be interested in submitting a proposal. UNLV will communicate with suppliers in response to inquiries and to manage the competitive procurement process. Suppliers will receive email notification of addenda associated with any solicitation for which the user has expressed an interest. UNLV may provide suppliers with additional communications if deemed necessary or helpful for the overall functionality of the registration and procurement processes.

Nevada Public Records Law

Under NRS 239.010, "...all public books and public records of a governmental entity, the contents of which are not otherwise declared by law to be confidential, must be open at all times during office hours to inspection by any person, and may be fully copied or an abstract or memorandum may be prepared from those public books and public records. Any such copies, abstracts or memoranda may be used to supply the general public with copies, abstracts or memoranda of the records or may be used in any other way to the advantage of the governmental entity or of the general public. This section does not supersede or in any manner affect the federal laws governing copyrights or enlarge, diminish or affect in any other manner the rights of a person in any written book or record which is copyrighted pursuant to federal law."

UNLV reserves the right to disclose your personally identifiable information as required by law and when it believes that disclosure is necessary to protect UNLV's rights or to comply with a judicial proceeding, court order, or legal process.

Log Files

SRPR gathers certain information automatically and stores it in log files. UNLV uses this information to analyze trends, to administer the site, to track users' movements around the site and to gather demographic information about the user base as a whole.

Cookies

UNLV uses Session ID cookies so that the continuity of the supplier's login session within SRPR is managed through the exchange of a cookie. The cookie is used only in that session and does not carry over to a subsequent log on or separate interaction with SRPR. The cookie contains no information about the supplier, supplier profile, supplier computer platform, or how the supplier is accessing SRPR. Upon completion of the particular session, the Session ID cookie expires when the supplier closes the browser and is discarded. If the supplier rejects cookies, they may still use SRPR, but their ability to use some areas of the website will be limited.

Security

UNLV follows generally accepted industry standards to protect the personal information submitted to it, both during transmission and once received. No method of transmission over the Internet, or method of electronic storage, is 100% secure, however. Therefore, while UNLV strives to use commercially acceptable means to protect your personal information, it cannot guarantee its absolute security.

Changes in this Privacy Statement

If UNLV changes its privacy policy, it will post those changes to this privacy statement so that you are aware of what information UNLV collects, how it is used, and under what circumstances it is disclosed. UNLV reserves the right to modify this privacy statement at any time, so please review frequently.
